EV Charging Cards for Employees: A Fleet Onboarding Checklist

Giving an employee an EV charging card is only one part of fleet onboarding. The driver also needs an active business payment profile, a clear vehicle assignment and one successful test charge. Set these up before the first customer trip so charging works and the cost reaches the correct company account.


Start with the business workflow, not the plastic card


A charging card identifies an account at a compatible charging point. It does not decide your company’s expense policy, guarantee access to every station or automatically identify the vehicle being charged. Agree how the employee, card and vehicle relate to one another, especially for pool cars and temporary replacements.


Before ordering or assigning cards, check typical routes and overnight parking. An employee with a home charger, an office-based pool-car driver and a field-service colleague may need different charging routines. The same simple onboarding process can still serve all three.


What should the fleet manager prepare?


  • Account ownership: the company account, administrator and billing contact.

  • Driver access: an invitation process and the employee information actually needed for access.

  • Vehicle assignment: a consistent reference, including what happens when a car is replaced or shared.

  • Charging access: the card or app start methods supported by the selected provider and stations.

  • Payment rules: which profile to use, how personal payments are handled and who resolves mistakes.

  • Support: a contact for access problems and the station operator’s fault-reporting route.


Write this as a short checklist with a named owner. Avoid distributing shared administrator credentials just to make the first session possible. Give each employee the access appropriate to their role.


How employees activate a StromNow Fleet profile


The official StromNow Fleet onboarding guide describes the app setup: open Me, choose Payment Profiles, select Fleet and enter the invitation code. An active Fleet Portal is required.


After activation, select the Fleet profile for business charging. Confirm physical-card activation and assignment separately where a card is used. Receiving an invitation or possessing a card should not be treated as proof that every part of onboarding is finished.


Run one test that checks charging and billing


Choose a suitable nearby station and allow time for a short first charge. The goal is to test the complete workflow, not fill the battery. Ask the employee to find the station, review its price and start the session with the intended business method.


Afterwards, confirm that the session is associated with the expected company account and vehicle or driver. Check the recorded energy and cost when available. A successful start is useful evidence, but a correctly assigned record is what makes the process ready for routine use.


Include one realistic fallback

Give drivers a short charging policy


Specify the business payment profile, how to check additional fees and when a more expensive stop is justified. Make safety and the actual route needs more important than chasing a single price target. Explain how to report an accidental personal payment without assuming it can be transferred retrospectively.


For a lost card, a departing employee or a vehicle change, define who removes access or requests a block and how to confirm completion. Do not assume returning the car also disables its charging access. Review these cases with your provider during setup.
